A customer hands you $120, you say thanks, and that is where the record usually ends. No card statement, no bank line, nothing but your memory of it.
That gap costs people money. Cash sales you never wrote down are still income, and a tax office that finds the gap will ask you to explain it. A receipt takes twenty seconds and closes the hole.
This page has six cash receipt layouts, what to put on one, and the fastest way to send it. Everything is built in your browser and downloads straight to your device.
Six Cash Receipt Layouts
Most sites give you a Word or Excel file to edit on a computer. This works differently. Pick a layout, fill it in above, and save a PDF or PNG.
I kept the gallery small on purpose. Twelve previews that differ only in colour waste your time. Each of these does a different job.
Simple cash receipt. Header, date, one item, total, payment. This is what the maker opens with, so you can start typing immediately.
Itemised cash receipt. Add more lines under Items. Every line gets its own price, and the subtotal recalculates as you go.
Deposit receipt. Enter the deposit as your item, then use the custom message for the job reference and the balance still owed.
Service cash receipt. Change the FOR line to the actual job, something like “Boiler repair,” and keep the Received By signature at the bottom.
Cash receipt with a QR code. Point the code at your website, your reviews page, or your payment details.
Cash receipt with a barcode. Useful if you scan receipts back into a stock or records system.
Labels start in English, and you can rewrite any of them, so Spanish or French headers are fine. Sections drag into any order, which no downloadable file will let you do.
What Goes on a Cash Receipt
No bank statement sits behind a cash sale. The receipt carries everything, which means someone reading it next year should understand the whole transaction without calling you.
Check that yours has all of this:
- A sequential receipt number. CR-0001, then CR-0002. Accountants notice skipped or repeated numbers fast.
- The payment date.
- Your business name and address, plus your NTN, VAT or GST number if you hold one.
- The customer’s name.
- Each item or service with its price.
- Tax, if you charge it.
- The total received, with Cash named as the payment method.
- Any balance still owed.
- A signature from whoever took the money.
Then keep your copies. In the United States, the IRS sets out how long to hold business records in its recordkeeping guidance, and three years is the common floor. UK rules are on GOV.UK. Retention periods differ by country, so check yours rather than assuming.
Make Your Cash Receipt in About Two Minutes
Create a Cash ReceiptWhat the Maker Gives You
- A thermal-style receipt at the standard 80mm width, with a choice of fonts and light, normal, or bold text
- Sections you can drag into any order: header, date and time, items, totals, payment, signature, custom messages, dividers, barcode and QR code
- Subtotal, tax and total updating as you type, with the change worked out from the cash you were handed.d
- One tap for $, £ or €, plus a full currency list, or no symbol at all
- Your choice of date format, MM/DD/YYYY or DD/MM/YYYY
- Your logo at the top, read by your browser and never uploaded to us
- Print, save a PDF, download a PNG, or send it on WhatsApp or by email
Two other tools help here. The invoice number generator builds a numbering format you can keep to, and the sales tax calculator checks a rate before you commit to it. If you charge VAT or GST instead, use the VAT and GST calculator.
Why Bother, Honestly
A regular swears they paid cash for last week’s session. Without paper, you are guessing, and guessing loses either the money or the customer. With a receipt, you find the date and amount in seconds, and the conversation ends there.
Beyond disputes, three things change once you issue receipts consistently.
Tax time stops being archaeology. You have a dated log of cash coming in, instead of a shoebox and a vague memory of August.
Your own spending gets tracked too. Pay a supplier in cash and write yourself a receipt. Most accounting software imports a PDF in one click, so the cost lands against your income where it belongs.
You look like a business. A tidy receipt printed or emailed reads as professional even when you work out of a van. The shop down the road handing over a scribbled slip does not.
How to Make One in Five Steps
If you already send invoices through accounting software, open the invoice, mark it paid, and the receipt generates itself. Most cash jobs never get an invoice, so here is the other route:
- Open the maker above, or pick a layout from the receipt templates library.
- Add your logo and business name to the header. Set the width, font, and date format while you are there.
- Fill the custom message with the receipt number, the customer’s name, and what they paid for. Add each item and price, then set your tax rate under Totals.
- Enter the cash you were handed under Payment so the change appears. Check that the preview looks right for printing.
- Save the PDF, download a PNG, print it, or send it on WhatsApp or by email.

Receipt Maker, Word, or Excel
| Online maker | Word | Excel | |
| You need | A browser | Word or Google Docs | Excel or Sheets |
| Maths | Done for you, change included | By hand | Only with formulas |
| On a phone | Easy | Fiddly | Fiddly |
| Design | Thermal style, fonts, logo, drag sections | Anything you like | Anything, with patience |
| Output | PDF or PNG | DOCX or PDF | XLSX or PDF |
| Sending | WhatsApp or email in one tap | Attach it yourself | Attach it yourself |
Take cash a few times a week, and the maker wins, mostly because it is already open on your phone. Word suits unusual wording, like deposit terms that change per job. Excel suits anyone logging every sale in one sheet anyway.
What a Cash Receipt Actually Proves
A cash receipt is the document that closes a sale. Money moves, the person receiving it writes down that it arrived, and both sides hold proof.
It handles partial payments too. Say a $500 kitchen job with $200 up front. The first receipt shows the $200 paid, the date, and the $300 outstanding. The final payment gets its own receipt later, with the same job reference so the two connect.
Keep it tight. Who paid, who received, what it covered, and how much. That is enough for a customer, an accountant, or an auditor comparing two copies.
Cash Receipt or Invoice
| Cash receipt | Invoice | |
| Says | You have paid | Please pay |
| Timing | After the money arrives | Before the money arrives |
| Shows | Date paid, method, amount received | Due date, terms, amount owed |
| Customer does | Files it | Pays it |
Four Things That Make It Look Professional
You do not need a designer. A receipt mostly needs to match what customers already recognise, whether that is your shop sign, your Instagram, or the van with your number on the side.
Logo at the top, business name under it. Both live in the header section.
Keep the signature line. Received By shows who collected the money, which matters the moment staff starts taking payments for you.
Pick one layout and stick to it. Note your width, font, and section order so you can rebuild the same look next time, since there is no account holding your settings.
Send them the same way every visit. Consistency is most of what people mean by professional.
When to Send It
Right after payment, wherever possible. On a job site, that evening at the latest. Saving up a week of receipts for Friday is exactly how cash sales go missing.
| Delivery | Works best for |
| Handing over a printed 80mm receipt | Counter sales, markets, food stalls |
| Emailed PDF | Online orders and regulars |
| Posted copy | Customers who file paper |
| WhatsApp straight from the maker | Anywhere, including a client’s driveway |
Even a $15 sale deserves a copy. Save them all in one folder, and your records have no holes in them.
Other Receipt Types
Not every payment is a cash sale. These cover the rest:
- Hotel receipt for nightly rates, taxes, and extras on one bill
- Sales receipt for shop and online sales with item lines and tax
- Rent receipt with tenant name, property address, and the month covered
- Service receipt for work billed by the job or the hour
- Donation receipt with a field for a charity registration number
- Delivery receipt proving goods arrived, signed by whoever took them
The full templates library has the rest, and the receipt maker handles any type.
Is a cash receipt legal proof of payment?
In most countries, yes. A dated receipt with a signature is accepted as evidence that money changed hands. Digital copies generally count too, as long as they are complete, unaltered, and you can produce them when asked.
Does a cash receipt need a signature?
Not always by law, but sign every one anyway. It records who took the money, which settles arguments the moment more than one person handles cash.
Can I give a cash receipt for a deposit?
Yes, and you should. Show the full price, the deposit taken, and the balance left. When the rest is paid, issue a second receipt with the same job reference.
Should I use Word or Excel instead?
Excel if you want tax and totals calculated for you. Word if your wording changes a lot. Neither, if you mostly write receipts standing up on a phone.
How should I organise my receipts?
By purpose rather than by date. Deposits, walk-in sales, and service work in separate folders, stored somewhere your phone and your laptop both see.
Do I need a receipt for small cash amounts?
Issue one regardless. A missing $15 sale is not the problem on its own. A pattern of missing small sales is what makes a tax office curious.
