A hotel receipt proves a guest paid for a stay. It lists the property, the dates, the nightly rate, the taxes, and the total. In the hotel trade, it is called a folio, and that single word will get you a better result at a front desk than asking for a receipt.
I have watched the same expense-report argument twice. One traveller submitted the booking confirmation from three weeks before the trip. It showed an estimated rate. No parking, no resort fee, no occupancy tax. Finance sent it back. The other had the folio from checkout and was reimbursed that week.
This page covers what belongs on a hotel receipt, how a folio differs from an invoice, and how to recover one after you have checked out.
Why Hotel Receipts Are Treated Differently
Most travel expenses have a threshold. Spend under a certain amount and a receipt is optional. Lodging is the exception nearly everywhere.
For business travellers, the folio is the document finance teams ask for by name. A card statement showing one merchant and one total gets rejected. It proves money moved, not what it bought.
For tax purposes, lodging usually requires documentary evidence regardless of the amount. A forty-dollar motel night needs the same paperwork as a four-hundred-dollar one.
For the property, the folio is the accounting record. It is also the evidence if a guest disputes a charge weeks later.
That is why itemisation matters more here than on a shop receipt. A hotel bill mixes lodging, food, parking and several separate taxes into one total. An employer or tax authority treats every one of those categories differently.
Hotel Folio vs Invoice vs Receipt
These three words get swapped around constantly. In hotel operations, they are three stages of the same process.
| Document | When it exists | What it does |
| Folio | Check-in to checkout | The running tab. Updates in real time as charges post, and lives in the property management system (PMS) |
| Invoice | At checkout | The final statement. Carries an invoice number, tax details, and the amount due |
| Receipt | After payment | Confirms the balance is settled |
The word folio comes from the Latin for leaf, or page. It is left over from the days when every guest had a ledger page in the hotel’s books.
Most properties hand you one document at checkout that does all three jobs. When you email a hotel later, ask for the itemised folio. That phrase produces the full breakdown. Asking for a receipt sometimes produces a one-line card slip, which will not survive an expense audit.
Larger hotels use variations you may run into:
- Guest folio: the standard bill for one guest or family
- Split folio: charges divided between two parties, common when a company covers the room, and you cover the extras
- Master folio: a single bill covering a group booking
- Zero-balance folio: everything paid, nothing owed, which is what you want at checkout
What Every Hotel Receipt Must Include
Anything missing from this first group is likely to get an expense claim returned.
- Property name, plus logo if you are issuing it
- Full address, city and country
- Phone number
- Guest name, matching the person claiming reimbursement
- Check-in and check-out dates
- Number of nights
- Room number and room type
- Nightly rate, shown per night rather than as one lump
- Taxes broken out separately, each with its rate
- Subtotal, tax total, and grand total
- Payment method with the last four digits of the card
- Folio or invoice number, unique and sequential
Then the charges that make hotel bills different from every other receipt. Each one belongs on its own line:
- Resort fee or destination fee
- Occupancy tax, city tax, or tourism levy
- VAT or GST, depending on the country
- Parking or valet
- Room service and restaurant charges
- Minibar
- Spa, laundry, and phone
- Early check-in or late checkout fees
The rule is simple. If it was charged, it gets a line. Bundling is the most common reason a hotel receipt fails an audit. It is also the thing finance teams complain about most.
What Employers and Tax Authorities Ask For
Rules vary by country, so confirm with your own tax authority before relying on this for a filing. Three patterns hold almost everywhere.
Lodging needs a receipt regardless of amount. The usual small-expense threshold does not apply to hotels. In the United States, IRS Publication 463 sets out the documentary evidence required for travel expenses, and lodging is called out on its own.
The record must show dates, location, and separated charges. A single total is not enough, because lodging and meals are treated differently. Employers go further. Most require the room rate, taxes, and incidentals listed line by line. The traveller’s name must appear on the document. The University of Pennsylvania travel policy is one published example. Receipts are mandatory for lodging at any amount, and a missing-receipt declaration will not cover it.
Keep the records for years. Three to seven years is the common range for tax and audit purposes. UK sole traders can check the record-keeping guidance on GOV.UK for retention periods and acceptable formats.
If your employer reimburses on a per diem basis, the receipt burden drops. You still document the dates and the location of the stay.
How to Get a Hotel Receipt After Checkout
Folios go missing constantly. The final version only posts at checkout, usually while you are rushing for a flight. Work through these in order.
1. Search your email
The folio often arrives on the morning of departure. Search the hotel name first, then the confirmation number. Some properties send from a no-reply billing address that does not carry the hotel name in the subject line. Check spam.
2. Open your loyalty account
Major chains store past folios in your account. Hilton keeps receipts for stays going back twelve months, viewable on the website and in the app under previous stays. It publishes instructions for finding a past stay receipt. Marriott, Hyatt, and IHG have equivalents. If you were signed in when you booked, or gave your member number at the desk, it is there.
3. Check the booking platform
Booked through Expedia, Booking.com, or a corporate travel portal? Pull it from there. Be aware that a platform receipt often shows only the total charged. It skips the hotel’s own tax breakdown. If your finance team wants itemisation, keep going.
4. Email the property directly
For independent hotels, this is the fastest route. Send the front desk or accounts address:
- Your full name as it appeared on the booking
- Check-in and check-out dates
- Room number if you remember it
- Last four digits of the card used
- A specific request for the itemised folio as a PDF
Most properties reply within a day. Several large groups run a dedicated folio request form on their site.
5. Use your employer’s missing receipt process
If the hotel genuinely cannot produce it, most employers have an affidavit form. You certify that you contacted the property, list the dates, nights, daily rate, and total, and attach your card statement as proof of payment. Check your own policy first. Many organisations will not accept an affidavit for lodging at all.

Mistakes That Get Hotel Receipts Rejected
Submitting the booking confirmation. It predates the stay and shows an estimate. It is not proof of payment, and it is the single most common reason an expense report bounces.
One line saying “accommodation”. No nightly breakdown and no separated tax. An auditor cannot verify anything from it.
A card slip instead of the folio. It carries a merchant name and a total. Nothing else.
Wrong guest name. If a colleague made the booking, the folio names them. Sort that at the desk, not at expense time.
Adding charges that were never billed. Padding a claim with a plausible parking fee is expense fraud. Detection systems catch it more often than people expect.
Create Your Hotel Receipt
Open the hotel receipt template, and the fields are already laid out. Guest name, check-in and check-out dates, room number, nightly rate, and separate tax lines.
- Enter the property details. Name, address, phone, and your logo if you have one.
- Add the guest name and stay dates. Use full dates, not just the month.
- List each night as its own line. Three nights at different rates means three lines. Corporate travellers often split nights across cost centres and cannot do that from one total.
- Add the extras separately. Parking, breakfast, minibar, resort fee. One line each.
- Set your tax lines. Occupancy tax and city tax are separate things. Give each its own rate so the guest can see how the total was reached.
- Download the PDF to email, or the PNG for a quick copy.

Frequently Asked Questions
What is the difference between a hotel receipt and a folio?
A folio is the running record of charges during your stay, updated as they happen. A receipt confirms payment after checkout. The finalised folio you get at checkout usually serves as both, which is why asking for the itemised folio is the clearest way to request one.
Can I use my booking confirmation as a hotel receipt?
Usually not. A confirmation shows an estimated rate before the stay. It has no incidentals, no resort fee, no final tax, and it does not prove payment cleared. Most finance teams reject it.
Do I need an itemised hotel receipt for an expense report?
Almost always. Employers typically require the room rate, taxes, and other charges listed separately, with the traveller’s name on the document. A total-only slip is rarely accepted on an expense report.
Are hotel receipts required for small amounts?
Yes. The small-expense thresholds that let you skip receipts elsewhere generally do not apply to lodging. Even a low-cost night needs documentation.
Can I use an Airbnb receipt for an expense claim?
Often, yes. Airbnb provides a receipt in the app under your trips, and finance teams usually want the same details as a hotel folio: dates, address, total, and confirmation of payment. Some employers still prefer a traditional hotel folio, so check your policy before booking a vacation rental on a business trip.
What are resort fees and occupancy tax?
A resort or destination fee is a mandatory daily charge some properties add for amenities. Occupancy tax is a government tax on lodging, set locally and often stacked with a city tax or tourism levy. Both belong on separate lines.
How long should I keep hotel receipts?
Commonly three to seven years, depending on your country. Keep digital copies in two places. One cloud folder is a single point of failure.
How do I get a receipt for a stay from last year?
Start with your loyalty account, since major chains hold roughly twelve months of history. Beyond that, email the property with your dates and card details. Hotels retain billing records for years, even when the online copy has gone.
Is a digital hotel receipt valid?
In most countries, yes. Electronic records are generally accepted provided they are accurate, complete, unaltered and retrievable for the required retention period. Check your national tax authority for the specifics.
